E2 Optics Marketing Request SOP: How to Get on Our Radar Fast
1. 🎯 Scope & Purpose
This SOP applies to all internal teams (Sales, Operations, HR etc.) submitting any marketing requests—from a presentation or award video to a full campaign. It ensures all essential info is captured upfront for faster execution and better results.
2. ⏰ Submission Rules

Use the official Intake Form on the Marketing Portal—don’t email ask or Slack-tag unless urgent.

Please submit at least 14 business days before your desired launch start date. Creative work needs time!

One request per form, please—we’ll group related items together.
3. 📋 Required Fields
Make sure to include:

Project Name & Brief Description—What’s the goal?

Target Audience—Who are we talking to?

Deliverables—e.g. LinkedIn graphic, product video, blog post, etc.

Channel(s) / Platform(s)

Key Messages / CTAs

Assets Provided—logos, copy, images, videos… or a note if you need us to create them.

Launch Date—plus any campaign windows or time constraints.

4. 🕹️ Workflow & Timing

5. ⛔ Common Pitfalls to Avoid

Not uploading your own assets (if you have them)

Missing internal approvals before submission

Changing deliverables or launch dates mid-project—scope creep slows everything down
6. 🧩 Role Responsibilities

Requester: Provide a complete form, assets, approvals, and feedback in a timely manner.

Marketing Team: Review, clarify, scope the project, deliver quality work on time.

Reviewers: Offer consolidated feedback during set review periods.
7. ✅ Success Criteria
A request is considered complete when:

Form is fully filled out

Assets are provided (or a note clarifies they’re needed)

Your boss has approved and is aware of your request.

Launch date is reasonable (10+ business days out)
Requests missing any of the above will be returned with feedback, not ignored—so we can get started right.
